General Job Summary
The Office Assistant will be responsible for the organization and running of the day-to-day administrative operations and mail services at the Store Support Center.

Essential Duties and Responsibilities

Receptionist
•    Greet visitors; communicate arrival of visitors internally.
•    Answer phones; retrieve voicemail messages and transfer calls.
•    Assist executive team with catering orders and setting up meetings.
Mailroom
•    Receive incoming express letters and packages and distribute to appropriate individuals.
•    Sort and distribute all incoming mail.
•    Ensure that all outgoing mail and packages are properly packaged and labeled for mailing, with correct postage, utilizing the automated postage meter machine.
•    Fully operate and maintain the mailroom equipment, place service calls as needed for the mailroom equipment.
•    Coordinate courier and air freight services.  Track, trace and resolve any delivery service problem.
•    Provide support to all stores for the express shipping accounts. 
•    Order office supplies and maintain sufficient quantities in various locations throughout office.
Office Administrative Support
•    Provide support to the Office Manager and Facilities team as needed.
•    Coordinate with office service vendors, such as recycle/shredding, repair calls, off-site storage coordination. 
•    Coordinate and maintain the office vending program for food and beverages, including purchasing and keeping sufficiently stocked.
•    Review and approve invoices for office services vendors.
•    Assist with ad hoc projects.
•    Perform all other duties as assigned.

Minimum Skills, Requirements and Qualifications
•    Ability to operate mailroom equipment.
•    Ability to operate multi-line phone system.
•    Proficiency in MS Office: Word, Excel, PowerPoint and Outlook.  
•    Sitting, standing, walking, lifting (up to 30lbs.) and climbing.
•    Exceptional written and oral communication skills. 
•    Ability to manage multiple priorities and tasks.
•    Ability to effectively work individually or in a team environment.

Compensation Details

$16 to $20 per hour
